GDPR & data use
What happens to your information when you enquire, book, pay or join the mailing list.
The important terms are shown before booking or payment. This information does not limit your statutory consumer rights. Independent UK legal review remains recommended.
Who controls your information
Georgia James, trading as Soulistic Ascension, is the data controller. You can contact Georgia at georgia@soulisticascension.co.uk about this notice or any use of your information.
What we collect
- Your name, email address, telephone number and the information you enter into an enquiry, booking or programme form.
- Your chosen service, appointment date and time, payment status, transaction reference and booking history.
- For a booked QHHT, BQH or Angelic Reiki session, the health, wellbeing, accessibility and treatment information you choose to provide in the separate private consultation form, including an older signed paper form that Georgia later scans into the encrypted private archive.
- Your separate mailing-list choice and the date that choice was recorded.
- Messages you send, member access, course progress and limited security information needed to operate the website.
Please do not put health information into the standard booking form. The separate consultation form explains why the information is requested and asks for explicit consent before submission.
How and why we use it
- To provide the service you request: checking availability, taking payment, confirming the appointment, creating the calendar event and communicating essential booking information. The lawful basis is contract or steps you ask us to take before entering a contract.
- To prepare for a booked session: Georgia uses consultation answers only to consider comfort, accessibility and suitability. The Article 6 basis is provision of the requested service and the Article 9 condition for health information is your explicit consent.
- To keep required business records: payments, refunds, accounts and tax records. The lawful basis is legal obligation.
- To keep the service secure and well administered: preventing fraud, investigating errors and protecting the website. The lawful basis is legitimate interests, balanced against your rights.
- To send optional updates: events, gatherings and offerings are sent only when you actively tick the separate mailing-list box. The lawful basis is consent, which you can withdraw at any time.
Who receives it
Only information necessary for each task is shared with trusted service providers. This currently includes Stripe for secure payment processing, Google for calendar and appointment administration, MailerLite when you choose marketing emails, and the website hosting and encrypted database storage needed to run this site. Consultation answers and scanned forms are kept out of Stripe, Google Calendar, email, MailerLite, search results and AI analysis. Soulistic Ascension does not sell your personal information.
International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we use providers that offer an applicable UK transfer safeguard, such as an adequacy decision or approved contractual protection.
How long we keep it
Private consultation answers and encrypted scans are given a retention review date and deleted when they are no longer necessary to deliver the service or handle a lawful claim. Booking and payment records may be retained longer for tax, accounting and legal requirements. Mailing-list information is kept until you unsubscribe or it is no longer needed.
Your choices and rights
You may ask for access, correction, deletion, restriction or transfer of eligible information, and you may object to certain uses. You can withdraw consent for consultation health information or marketing by emailing Georgia. Withdrawal does not affect processing that was lawful beforehand or information that must still be retained under another lawful basis. See Your data rights for the request process.
What happens if you do not provide it
Name, email, telephone number, appointment choice and required booking agreement are needed to administer a paid booking. Relevant consultation information helps Georgia prepare, but you may contact her to discuss an alternative way to provide essential information. Joining the mailing list is always optional and does not affect your booking.
Contact and complaints
Email Georgia James at georgia@soulisticascension.co.uk or use the contact page. You also have the right to complain to the UK Information Commissioner’s Office. We would appreciate the opportunity to address your concern first.
